How we support independent events

7145318889_92c408fb57_q1JFDI.Asia is often asked to contribute to independent events by providing speakers, judges or mentors. We owe everything to the community that makes us possible, so we like to help whenever we can.

We also have to create a return for our community and to earn something in the meantime, because we use money as a success metric. So here’s the way we work:

  1. If your event exists primarily to promote a commercial or government message, product or service, we need you to cover our travel and accommodation expenses and our time.
  2. If your event exists primarily to support the community, we need you to find support that can cover our travel and accommodation expenses and we will try to make ourselves available without charging for our time.
  3. If you want us to pay for our own travel and/or accommodation, or to provide cash as a sponsor for an event, then that event needs to help us advance our plans. In return for our sponsorship we will need visible branding and a full list of all the names and email addresses for everyone who attends the event so that we can follow up with them. You need to resolve any data protection issues that arise.

In case (1) or (2) we either need you to book and pay for our travel and accommodation in advance, or you need to forward us cash to cover all the costs involved in advance of the event. We have found that making our own travel and accommodation arrangements then waiting for a refund after submitting tickets and receipts doesn’t work for us because it leaves us out of pocket while you process the payments and it creates additional administrative work at our end.
